    Enate's new scheduling features released

    Enate's Process orchestration platform's latest update is here, with a focus on new, easy-to-implement scheduling functionality, and new UI providing a seamless method for uploading multiple schedules simultaneously.

    Schedule Functionality

    Enate is now supporting two types of scheduling capability. The first is the creation of repeating frequency-based triggers (such as ‘Start a Case every Monday at 9am’) which you can link to a specific case process. The second is the richer functionality, which allows you to better support more complex processes. such as payroll, for example. Specifically, it allows you to:

    • Create Schedule Structures in Builder consisting of several key dates, such as 'Submission Deadline date', 'Initial report Date', 'Credit Date' etc.
    • Create multiple individual Schedules of dates against one of these structures.
    • Link one or more Case processes to that Schedule and then refer to it when configuring your Case process by:
      • setting step due dates which refer to the dates in the schedule (including offsets).
      • referencing due date rules for the Actions and the Case.


    • At runtime: Be able to link a running Case work item to a schedule, and to reference a schedule if launching a Case as part of Rework.

    In this blog post, I am going to focus on 2nd functionality using schedule structure.

    On the ‘Schedule Structures’ tab in the Schedules section of Builder, you can view all previously created schedule structures and add new ones.

    Creating a new Schedule Structure




    When adding a new Schedule Structure, you will need to define a name, give it a description, and then define the dates in which it will be used (i.e. the structure of key dates throughout that period). ‘Start Date’ is always defined, as this is needed for the system to know when to start any cases .

    Clicking on the ‘Add Schedule’ link will bring up a popup, and this is where you select the Schedule Structure to be used (with a search function to filter).




    After choosing your desired Schedule Structure, you can define a name and description, then add as many sets of dates for as many periods as you desire. Add a row and then define dates.




    Apart from adding new rows manually, you should be able to upload multiple periods using an excel sheet.




    This new UI offers a seamless method for uploading multiple schedules simultaneously. Just provide a .xsl or xlsx file and click 'Upload'.

    The Excel file must contain a heading row which matches the grid headings of the schedule UI, including period, year, start date and all custom-made schedule dates.

    To exclude any unwanted data (whether document description or company logos, for example) that might be present in your Excel file, you can specify the header cell (see below) at the point of uploading your schedules. This will tell Enate to ignore all rows which precede your defined header cell.




    Once you pick up the required Excel file and hit 'Upload', new rows will be added in a different colour across the grid to identify new periods. At this point, you can discard any changes or hit 'Save' to finish the upload process.




    When you hit 'Save', the system will complete the process with confirmation popup on the screen as below:




    There is one new check box on the screen to hide previously completed schedule periods from the view, which is handy if you have lots of previous periods and would like to focus on a future one.


    Linking Schedules to Case Processes in Builder

    Once you have a schedule of dates created, you can start to make use of the Schedule within a Case process configuration. This is the point where you can:

    • Link the Case process to a specific Schedule
    • Link its Steps to date from within that Schedule
    • Create Due Date rules which reference dates within the Schedule

    The first setting to make is to go to the Case level settings within a Case flow screen in Builder and select the desired schedule from the ‘Schedule’ dropdown in the Case Info screen.




    The next activity available is to link the Steps of the Case process so they reference one of the dates in the Schedule. The links for this are available in the steps running along the top of the step flow diagram.

    When defining a new 'Due Date' option, you can select a due 'Date Method' of ‘from Explicit Schedule Date’, and then select which of the Schedule dates you wish to reference.
